WCA Privacy Policy

Warwickshire Chess Association is committed to protecting and respecting your privacy.

This policy explains when, how, and why we collect personal data about people.

Who we are

Warwickshire Chess Association is a county association for the promotion of the playing, teaching and development of chess in Warwickshire.

How we collect your information

The only information we collect is for entrants to competitions which the Association organises or participates in and where the information is provided by the entrant directly. We do not collect personal data simply as a result of a person visiting our website.

How your information is used

The personal data we obtain is applied for the following purposes, namely to:

  • Register entrants to play in competitions which the WCA organises or participates in
  • Identify entrants with their records on the English Chess Federation (ECF) Website.
  • Submit details of non-members to the ECF on a pay to play basis
  • Submit results of matches played to the ECF for grading purposes or to other organisations running competitions in which competition entrants participate.
  • Submit results where appropriate to FIDE for rating purposes.
  • Submit tournament information to the Chess Results website
  • Communicate with entrants for the purposes of publicising future chess events in which the organisers judge you may be interested in and/ or selecting and organising teams for chess events as relevant.

Consistent with this, the contact details provided to us by members may be used to contact them by mail, telephone, fax or e-mail for the above purposes.

We will hold personal data for as long as they are active chess players and for a reasonable time afterwards.

This data is held pursuant to the legitimate interests of Warwickshire Chess Ass which is the basis on which your data as set out is processed.

Who can access information

Unless required by law, we do not share personal data with third parties (aside from the English Chess Federation and competition organisers for the purposes stated above).

Entrants to competitions which Warwickshire Chess Association organises or participates in can ask for a copy of the data we hold about them. If an entrant provides information about another person, it is their responsibility to ensure that the other person has given their explicit consent to the processing of their personal data.

Should you have any unresolved complaints about the way we process your personal data, you have the right to make a formal complaint to the Information Commissioner’s Office (ICO).
